The Obit Finance area offers a number of different views of your financial data, all of which can be exported either by printout or via export to other file formats such as CSV or Excel.

Exporting Financial Data

  1. Goto the Finance area and select the sub section of interest.
  2. Each of the Finance sections have different filters available. Use the filter boxes to select the data that you wish to export. Note that if you are selecting for a date range that the from and to dates you put in are Inclusive - for example if you want the get all of 2018's funeral accounts in the output, you will enter 01/01/2018 in the from date and 31/12/2018 in the to date field.
  3. Check how many records are listed for output. If the number is less than 100, then you can use the options in the quick output list. If the number is over 100 then you need to use the "Export All" button at the top of your screen.
  4. If you have less than 100 lines and you wish to continue with the quick output options, you should first set the number of entries option overhead so that all are included in, for example, a printed document
  5. Next, use the "Column Visibility" to decide what to include in the output file or document. The default columns are solid and the options that you can select to include are white (Note - if you don't wish to see a default column, just click on it to de-select). You can turn columns on or off by clicking them.
  6. Note that all columns are visible by default in the Cashbook, Disbursements and Transactions views.
  7. If the number of records to be output is greater than 100, then you must use the Export All button (in this instance there is no need to select columns as all will be exported).
  8. If the number of records to be output is greater than 1000, then you must use the filters to reduce below 1000, e.g. by selecting quarterly rather than yearly output.

Notes on the individual views


Accounts View

The Column Visibility allows you to select separation of Disbursements into Crematorium, Cemetery and Other. It allows you to separately see the Funeral Directors Fee as well as Bad Debt - the default display shows as solid and the options as white - you can change any simply by clicking.

Tip 

If you want to extract the granular detail of, for example, all Disbursements of one type or another, consider using the Export to Sage function - this function allows you to set the relevant date range and the export function will create a set of spreadsheet or csv files with all Orders, transactions and arrangements which you can then work with in your desktop package. 


Financial Records View

This view allows you to see the export status of records if you are exporting to an accounting package


Cashbook View

This view allows you to see and manage cash, refund and lodgement transactions


Paid Disbursements View

If you are completely recording the payments of individual funeral disbursements to Contacts or Places, then this view will be fully populated and can be exported



Transactions View

This view lists all payments and refunds - you can use it to get a quick overview of Receipts/Sales.
