The finance section offers 5 different views to support analysis, reporting, managing Cashbook and Lodgements as well as Disbursements.
This article explains these views.
Accounts View
This is the default view when you click on Finance in the side menu and shows the aggregated funeral accounts records.
Note that the default view selects the previous month.
You can change the display by changing the values in the filter boxes at the top of the screen.
Note the two coloured action-required boxes at the top of the screen - if you click either of these boxes, the funerals with Warnings or Possible Errors are displayed:
If you click the Orange "Warnings" panel, you will get all funerals that have possible problems like un-invoiced orders.
If you click the Red "Possible Errors" panel, you will get all funerals that have possible errors like unsent invoices or credit notes.
You can click on any of the columns in order to sort the display by the values in that column - for example if you sort by the invoice status (second column) you will get first those funeral accounts with no orders followed by un-invoiced orders and so on until closed/completed accounts.
You can set control what fields are displayed by clicking the "eye" icon and switching columns on or off. for example you can select to view disbursements separated into Cemetery Charges, Crematorium Charges and Other Disbursements.
You can export data using the quick export icons (for up to 100 records) or "Export All" (up to 1000 records).
If you click the edit icon on any line, you will be taken to the Accounting & Finance section of the funeral selected.
Financial records View
This view shows a listing of all Financial Records, Invoices and Credit Notes and Quotations.
Whilst this is similar to the Accounts view, you also see the exported status of the individual records - this may be important if you are exporting data to an accounting package.
Cashbook View
This section automatically shows all cash or cheque payments made to funeral accounts. Here you can also record other payments received, for example from the renting of equipment or personnel to other Funeral Directors as well as payments made from the cash available, for example for fuel or gratuities.
You can record lodgements made to your bank account using this screen, including payments received and outgong payments made.
Using the gear-wheel icon, you can view or print any lodgement summary - these will give the detailed content of any lodgement.
You can also use this screen to set and maintain your cash balance
You can export the data from this screen in the same way as with other views.
Paid Disbursements View
If you have decided to record the detail of disbursement payments (to Contacts or Places) you can use this view for reporting and analysis
You can sort and/or export the data from this view for analysis and reporting.
Transactions View
This view shows all payments, regardless of type of payment as well as all refunds.
You can export from this view to, for example, see the total sales for any period.
